Paths
    Determines where the various system files and folders can be found.

    When you log-on you can choose a Setting. This refers to a collection of paths which you define here.

For example, you might have one Setting for when you are connected to the network and another Setting for when you are mobile. Alternatively, you might have a Setting that points to a private database on your local hard disc (containing company financial information, notes of conversations with the bank etc.)
     
Top   To add a new Setting
  Click the Add button
  Enter a name which describes the setting
Eg. My Private Database
(Duplicate names are not allowed)
  Click the OK button
  You will be asked if you want the paths to be set automatically.
If you choose Yes then the default paths created during installation will be searched for, and if found locally, set automatically. If you installed on a network then the database paths will not be set automatically but the system paths should be.
     
Top   To delete a Setting
  Choose the setting that you want to delete
  Click the Delete button
  Confirm the deletion by clicking Yes
     
    Note When you delete a setting, it is removed from the list. The paths associated with a Setting are not deleted.
     
Top   To rename a Setting
  Choose the setting that you want to rename
  Click the Rename button
  Edit the name of the Setting
(Duplicate names are not allowed)
  Click the OK button
   
Top   Viewing the paths
    If a path has a tick  symbol next to it then the path exists and can be accessed.

If a paths has a warning  symbol next to it then either the path does not exist, or could not be accessed or has not been set.

There should be no  warning symbols in the list.

  Double-click a path to open the Browse window
  Choose a path and click the OK button
  To create a new folder, click the New button
     
    To search for paths automatically:
  Click the Auto-Search button
     
    To move paths around:
  Drag a path with the mouse and drop it on the desired slot
     
    To use an existing Setting as the basis for a new one:
  Click the Copy from existing Setting button
  Choose an existing Setting to copy from

  Index folder
Used to hold the Index files.

Used to hold a folder for each user, in which the diaries and other files are held.

  Publishing folder
    If you publish parts of the database to the internet, you can preview the pages before you upload them by creating them in this folder.

  Work files (Pending tray) folder
    Used as a temporary store for any kind of file that is waiting to be linked into the database. Typically this might hold Word® documents, Excel® spreadsheets and so on.

  Mail-Merged (Pending tray) folder
    Used as a temporary store for documents created by the Mail-Merge Wizard or Write a letter feature, that are waiting to be linked into the database.

    Reserved
     
  Video and Voice (Pending tray) folder
    Used as a temporary store for video clips, digital photos or audio clips that are waiting to be linked into the database.

  New contacts (Pending tray) folder
    Points to an existing folder in the main database Filing system where you want new contacts to be created before you integrate them into the database. Do not click the New button to create a folder in the main database, rather create a folder via the Filing screen.

  E-Mail (Pending tray) folder
    Used to hold incoming e-mails, draft outgoing e-mails, and logs of sent e-mail. There is one folder for each e-mail account, the folders within reflect the activity on that account.

  Tables folder
    The default location for saving tables in the Tables screen.

    Used to hold a library of standard e-mails that you can choose from when you are composing an e-mail or responsing to form submissions.

Top   Where should I locate the Pending trays?
    There are several types of Pending tray to help you categorise the files that you are going to link into the database.

For example, you can separate Faxes from Scanned images.

If you have all your pending trays on your local machine then you maintain a level of privacy, however your files will probably not be covered when a back-up is done and the system supervisor will not be able to see whether you are efficiently linking your files into the database like a good network citizen.

If you have all your pending trays on the network then you lose all privacy as anyone can read your work before you link it. However, this may be irrelevant because once it's linked it becomes available to all users anyway.

We suggest that you create all Pending trays on the server with the exception of the Work Files pending tray which you keep on your local machine, perhaps pointing it to your My Documents folder (created by Windows). This way you can work on your draft documents and link them into the system when you are ready.
     
    Tip You might want to set the default save path in Word® and Excel® to be the same as your Work Files Pending Tray.
     
Top   Using a Novell® server, or don't know
    This option can have a significant impact on performance. The safe option is to tick it, but this will slow down some aspects of the filing system if you are not running on a Novell® server. If you know for certain that you are using a Windows-based server (usually either NT or 2000) then you should leave this option unticked.

You should only tick this option if:
  Any of the paths are set to a Novell® server, or
  You don't know what type of server you have
     
    Leave this option unticked if:
  All the paths are on your local machine
  Your server is Windows NT or Windows 2000
  Your network is peer-to-peer
(This means computers running Windows 95, 98, ME, 2000 or XP, all networked together but with no central server)
     
Top   Create temporary files in
  Temporary files are usually created in the folder designated by Windows to hold temporary files (Windows \ Temp). There are occasions when you may want to set a specific path and not use the Windows default.

To choose an alternate folder:
  Click the box labelled Other:
  Browse for a folder or create a new one
  Click the OK button
